Problems with storage and retrieval led this Borough Council to ask RWM to convert 2,400,000 pages from their Property Files which were indexed by Property Address. After scanning the documents, the resultant electronic records were written to CD and again indexed by Property Address. Besides the normal advantages and efficiencies attributable to Electronic Records, one major benefit of the indexing element - and the ability to sort data by the corresponding index field - was the identification of misplaced files for the same address. The original set of discs is still being used on a daily basis.

The regular requirement here is to convert large amounts of paperwork and drawings, ranging from initial Tender Responses through to every contractor and sub-contractor report, analysis, plan, fax or handwritten note relating to each particular project as a whole, and output the electronic records and relevant indexes to Compact Disc. Authentic copies of the entire project documentation can then be quickly distributed by envelope to each and every party associated with the project, thus obviating the need for time consuming collation and the bulk despatch of copies of drawings and documents. Each Compact Disc includes RWM's easy-to-use Retrieval Software which will run on virtually all versions of Microsoft Windows.

RWM was asked to scan over 1,000,000 application forms and index the images by applicant name and number. The resultant electronic records were output to Compact Disc in a format that allowed them to be imported directly into the customer’s Electronic Document Management System.

Work of a highly sensitive nature is carried out for a number of high profile Government Agencies who wish to textually interrogate large numbers of documents. Paperwork is initially scanned and the images are then subjected to Optical Character Recognition (OCR) Software which produces a Full Text Index of the textual universe in question. RWM's own Alphascan Search and Retrieval Software, which is incorporated on every CD, is used by these customers to identify and locate particular words and phrases prior to the presentation of evidence.

This occasional scanning and conversion exercise is a good example of the capture of client records when migrating data from one company to another. The electronic records were indexed by Client Name and Account Number and output to CD in a format suitable for import into their existing Document Management System. This exercise helps them to comply with current regulatory and commercial legislation whilst continuing to benefit from the efficiencies associated with Electronic Customer Records.

High volume scanning and indexing of records and documents from a variety of departments within the health trusts which, together with the supply of images and retrieval software on CD, forms an important part of RWM's overall activities.
